Who we are

UpScale Automation Ltd (“we”, “us”) is the data controller for personal data collected through this website. We are registered in England and Wales, company number 17366821. You can reach us at [email protected].

What we collect

We collect personal data that identifies you in two places: the booking form on our “Book a call” page, and the form for the ASCEND guide at the end of our AI type quiz. When you submit the booking form we receive:

• your name and work email address, and your phone number if you give it;
• your company name;
• roughly how many people work in your business;
• anything you choose to write in the free-text notes field;
• the country your request came from, as reported by our hosting provider, and the time of submission.

The AI type quiz

When you finish the quiz at /ai-type, we keep your answers and your result (your type, your level and the area of the business you chose) so we can see which results are common and improve the quiz. On their own they carry nothing that identifies you: no name, no email, no IP address.

If you ask for the guide, we receive your name, your work email, your company name if you give it, roughly how many people work in your business, and whether you ticked the box to hear from us. We keep these with your quiz answers, so a follow-up can be about your result.

We also measure how the site is used, in aggregate. This is done with Cloudflare Web Analytics, which is provided by the same company that hosts the site, sets no cookies, assigns you no identifier, and cannot follow you to any other website. It records the page visited, the site that referred you, your approximate location by country, and how quickly the page loaded. Our lawful basis is our legitimate interest in knowing which pages are useful and which are slow. There is no way for us to single you out in it.

We run no advertising trackers, we use no cookies for tracking, and we build no profile of your browsing. Our web fonts are served from our own domain rather than a third-party font service, so loading a page does not disclose your IP address to anyone but our hosting provider.

If you choose to message us on WhatsApp from a link on this site, that conversation happens on WhatsApp, under WhatsApp’s own terms and privacy policy, and we see what you send us there. Nothing is collected by this website when you click the link.

Why we use it, and our lawful basis

• To respond to your enquiry and arrange a meeting. Lawful basis: your consent, given by ticking the consent box, and our legitimate interest in responding to people who ask us to get in touch.
• To assess whether we are a good fit for each other. Lawful basis: legitimate interest in qualifying enquiries before taking up your time or ours.
• To keep a record of business enquiries. Lawful basis: legitimate interest in maintaining ordinary business records.
• To send you the ASCEND guide, and follow up about your quiz result. Lawful basis: legitimate interest in replying to someone who asked us for something.
• To send you occasional emails about AI and automation, only if you ticked the box. Lawful basis: your consent. Every email says how to unsubscribe.

We will not add you to a marketing mailing list on the strength of a booking request or a quiz result, only if you tick the box, and we do not sell or rent personal data to anyone.

Who else sees it

Your submission is processed by our website host and passed to us by email. That means the following processors handle it on our behalf:

• Cloudflare — website hosting and delivery.
• Resend — email delivery of the enquiry to our inbox.
• Microsoft — our business email, where the enquiry is stored and answered.
• Hetzner — hosting for our own business platform, where quiz results and guide requests are stored.

Some of these providers operate outside the UK. Where personal data is transferred abroad, it is protected by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision, as applicable.

How long we keep it

If we do not go on to work together, we keep your enquiry for up to 24 months so we recognise you if you come back, then delete it. If we do work together, your details are retained under our client engagement terms and for as long as we are required to keep business records.

Quiz answers are kept for up to 24 months. If you asked for the guide, we keep your details for up to 24 months from your last contact with us, or until you ask us to delete them. If you unsubscribe, we stop emailing you straight away.

Your rights

Under the UK GDPR you have the right to ask us for a copy of your personal data, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time — that does not affect anything we did before you withdrew it.

Email [email protected] and we will respond within one month. If you are not satisfied with our response, you can complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy

We will update this page if what we do with personal data changes, and revise the date at the top.
